Booking Terms

1. General Booking Information
These Terms and Conditions apply to all bookings made with the Association of Electrical and Mechanical Trades (AEMT) for training courses, conferences, awards dinners, and member events. By submitting a booking, you agree to be bound by these terms.
All prices are quoted in GBP and are per delegate or per ticket unless otherwise stated. Places at all AEMT events are limited and early booking is strongly advised.
On receipt of your booking, the AEMT will respond with payment instructions or a receipt where payment has been made by credit card.
2. Payment
Full payment is required in accordance with the following:
- For bookings made more than 6 weeks before the event: payment must be received in full no later than 6 weeks prior to the event date.
- For bookings made within 6 weeks of the event: full payment is required immediately upon booking.
- Failure to pay by the due date may result in your place(s) being cancelled. Outstanding cancellation or transfer fees unpaid more than 30 days after the event date may be referred for debt collection.
3. Ex (Hazardous Area) Training Courses
The following terms apply specifically to AEMT Ex Repair and other specialist training courses. These courses require significant advance planning and venue commitments, and the cancellation charges reflect those costs.
3.1 Classroom-Based Courses
Course fees do not include travel or accommodation. Refreshments and lunch are included where stated in the course information.
Cancellation — Classroom Courses
In the event of cancellation by the delegate, the following charges apply:
- More than 2 months before course start: 100% refundable.
- Between 6 weeks and 2 months before course start: 75% refundable. Alternatively, the booking may be transferred to a later course or another delegate at a cost of £95 per person.
- Between 1 week and 6 weeks before course start: 50% refundable. Alternatively, the booking may be transferred to a later course or another delegate at a cost of £150 per person.[C1]
- Within 1 week of course start: non-refundable. Alternatively, the booking may be transferred to a later course or another delegate at a cost of £225 per person.
These charges may be reduced if a waiting list exists and the place is subsequently filled.
Transfers — Classroom Courses
- Transfers may be made up to the end of the following calendar year and are subject to the same booking conditions once confirmed.
- Transfer requests must be submitted in writing to training@theaemt.com.
- Transfer details must be confirmed within 30 days of the transfer being agreed to avoid full course costs being invoiced.
- If a delegate is unable to attend a booked classroom course, an online alternative may be offered. In this case, the booking may be transferred free of charge; however, the classroom course fee will not be refunded.
3.2 Online Courses
Cancellation — Online Courses
In the event of cancellation of an online course booking, the AEMT will retain £90 of the original invoice amount. The remaining balance will be refunded.
Transfers — Online Courses
The following transfer options are available, each subject to an administration fee of £90 per delegate:
- Transfer to a different online course date.
- Transfer of the place to another delegate.
- Upgrade from an online course to an AEMT classroom course: the difference in price will be charged.
Transfers may be made up to the end of the following calendar year. Transfer requests must be submitted in writing to training@theaemt.com within 30 days of the transfer being agreed to avoid full costs being invoiced.
If a delegate cannot complete the online course within the allotted timeframe, an extension of up to 2 weeks may be granted for an administration fee of £90.
3.3 International Courses — Additional Terms
Visas
It is the responsibility of the booker or delegate to arrange any Visa required for the country in which the course is being held. The AEMT can provide a Letter of Invitation upon request. Visa applications should be made as soon as a booking is confirmed.
If a booking is cancelled due to a Visa not being obtained, the standard cancellation charges set out in section 3.1 will apply.
The AEMT may, at its discretion, offer a partial refund or credit towards a future course where evidence of a formal visa refusal is provided.[C2]
Withholding Tax
Where the laws of a country require a withholding tax deduction to be made, the AEMT's customer will be responsible for meeting this additional cost so that the AEMT receives its full course fee in net terms.
Certificate of Residence
If a Certificate of Residence (COR) is required, this must be indicated at the time of booking, as obtaining one can take several weeks. Please use the tick box on the booking form or email training@theaemt.com at the time of booking.
4. General Events — Conferences, Awards, and Member Meet-Ups
The following terms apply to all AEMT general events, including the annual Conference, the AEMT Awards Dinner, member meet-ups, and similar gatherings.
4.1 Cancellation by Delegate
In the event that a delegate needs to cancel their place at an event, the following charges apply:
- More than 4 weeks before the event: 100% refundable.
- Between 2 weeks and 4 weeks before the event: 50% refundable. Alternatively, the ticket may be transferred to another delegate at no additional charge.
- Within 2 weeks of the event: non-refundable. The ticket may be transferred to another delegate for a nominal administration fee of £25.
These charges may be reduced at the AEMT's discretion where a cancellation can be filled from a waiting list.
4.2 Transfers
Where a transfer of a ticket to another delegate is permitted, this must be requested in writing to events@theaemt.com. The AEMT reserves the right to decline a transfer if it is not practical to do so given the timing of the event.
4.3 Cancellation or Amendment by the AEMT
In the unlikely event that the AEMT cancels or materially changes an event, registered delegates will be notified as promptly as possible. In such circumstances:
- If the AEMT cancels an event entirely, a full refund of the ticket price will be provided.
- The AEMT is not liable for any travel, accommodation, or other costs incurred by delegates as a result of a cancellation or change.
5. Insurance
The AEMT strongly recommends that organisations consider obtaining appropriate insurance coverage — such as event cancellation insurance or business interruption insurance — to mitigate any financial risks associated with delegate absences or cancellations. Such policies may provide reimbursement for non-refundable expenses including travel and accommodation costs.
6. Certificates
Certificates are non-transferable and may not be issued in any name other than that of the delegate who completed the course or attended the event.
Replacement certificates may be requested by emailing training@theaemt.com.[C3]
7. Outstanding Payments
Payments for bookings, cancelled bookings, or cancellation and transfer fees that remain outstanding more than 30 days after the event or course end date may be referred for debt collection.
8. Amendments to These Terms
Where material changes are made to these Terms and Conditions, the AEMT will make reasonable efforts to notify delegates with existing bookings that may be affected.[C4]
9. Force Majeure
The AEMT shall not be liable for any failure or delay in performing its obligations where such failure or delay results from circumstances beyond its reasonable control, including but not limited to: pandemic, epidemic, or public health emergency; government restrictions, sanctions, or travel bans; natural disaster, extreme weather, or acts of God; war, terrorism, civil unrest, or industrial action; venue unavailability or supplier failure. In the event of a force majeure, the AEMT will use reasonable endeavours to reschedule the affected event or course and will offer delegates the option of transferring to a rescheduled date or receiving a full refund of fees paid.[C5]
10. Governing Law and Jurisdiction
These Terms and Conditions shall be governed by and construed in accordance with the laws of England and Wales. Any disputes arising under or in connection with these terms shall be subject to the exclusive jurisdiction of the courts of England and Wales.[C6]
11. Data Protection
Personal data provided as part of a booking will be processed by the AEMT in accordance with UK data protection legislation, including the UK General Data Protection Regulation (UK GDPR) and the Data Protection Act 2018. Delegate information will be used for the purposes of administering bookings, delivering courses and events, and issuing certificates. The AEMT’s full Privacy Policy is available at www.theaemt.com. For international delegates, personal data may be transferred outside the UK where necessary to deliver a course in the relevant jurisdiction, and appropriate safeguards will be applied.[C7]

Booking Information:
All Courses:
The rates are quoted in GBP and are for one delegate to attend the course.
Early booking is advised, as courses are limited in size. Once the form is received, we will respond with payment instructions and/or receipt if you’ve paid via credit card.
Payment must be made in full, 6 weeks before the course commences or immediate payment if booked within 6 weeks. Failure to pay may result in the delegate place being cancelled and 100% charges for the course.
Insurance
In addition to the booking terms outlined below, we advise that companies to consider obtaining insurance coverage to mitigate financial risks associated with delegate absences.
Insurance policies, often referred to as "event cancellation insurance" or "business interruption insurance," can provide reimbursement for non-refundable expenses incurred due to delegate cancellations or non-attendance. These policies typically cover expenses such as venue fees, travel arrangements, and accommodation costs. This can help to safeguard financial interests and ensure continuity of training operations in the event of delegate non-attendance.
Terms for Classroom-based Courses:
The rate does not include travel and accommodation costs. Rates include refreshments and lunch where appropriate.
Cancellation:
In the event of an applicant having to cancel, the fee will be refunded in part thus:
Up to 2 months: 100% refundable
Up to 6 weeks: 75% refundable, or transferable to a later course or another person at a cost of £95 per person.
Up to 1 week: non-refundable, or transferable to a later course or another person at a cost of £225 per person.
Transfers can be made up to the end of the following year and are subject to the same booking conditions as stated above once confirmed. Transfers must be sent in writing to training@theaemt.com to transfer to another course.
The transfer details must be sent to training@theaemt.com within 30 days of issuing in order to avoid the full costs being invoiced.
These fees may be adjustable if there is a waiting list for the course, or the place is filled.
Payments for bookings, cancelled bookings or cancellation/transfer fees which are still outstanding more than 30 days after course ends, could be sent to CreditSafe for debt collection.
If you are unable to attend a booked classroom course, an online alternative can be offered. Your booking can be transferred free of charge, however, the payment for the classroom course will not be refunded.
Certificates will be issued in the delegates name.
International Courses:
Additional Booking Terms
Visas
It is the booker or delegate's responsibility to arrange any necessary Visa for the country where our course is being held. The AEMT can assist by providing a Letter of Invitation to our course on request. The AEMT strongly recommend that Visas should be applied for as soon as a booking is confirmed.
If a booking is cancelled due to lack of the appropriate Visa, our usual cancellation fees above will apply.
Late Booking fees
Early booking is advised, as courses are limited in size. Late bookings particularly for International Courses involve considerable extra costs for the AEMT, therefore bookings taken less than 6 weeks prior to course will incur a late booking fee of £150 per delegate.
Withholding Tax:
The AEMT strives to keep our International Course fees as competitive as possible. To do this, we need to be sure we receive our full fee for each course. However, some countries’ laws require our customers to deduct a withholding tax.
If a deduction or withholding is required, the AEMT’s customer will bear this cost by paying an additional amount. The customer must ensure that the net amount the AEMT receives covers the full cost of each course.
Certificate of Residence
If the customer requires a Certificate of Residence (COR), then this must be made known to the AEMT when booking onto the course, as this can take several weeks to order. There is a tick box on the booking form for this purpose, otherwise you can request a COR by emailing training@theaemt.com when you book.
Terms for Online Courses
Cancellation:
In the event of a cancellation for our online training the AEMT will retain £90 of the original invoice, the remaining amount will be refunded.
Transfers to another course, or person, can be arranged as per the below terms:
A transfer to another online course can be arranged, an admin fee of £90 per delegate will apply
A transfer of the course to another delegate can be arranged, an admin fee of £90 per delegate will apply
A transfer from the online course to an AEMT classroom course can be arranged, the difference in price will be charged for the upgrade
Transfers can be made up to the end of the following year and are subject to the same booking conditions as stated above once confirmed. Transfers must be sent in writing to training@theaemt.com to transfer to another course.
The transfer details must be sent to training@theaemt.com within 30 days of issuing in order to avoid the full costs being invoiced.
Payments for bookings, cancelled bookings or cancellation/transfer fees which are still outstanding more than 30 days after course ends, could be sent to CreditSafe for debt collection.
If a delegate is unable to complete the course in the allotted timeframe, the course completion timeframe can be extended for a further 2 weeks. A £90 admin fee will apply.
Certificates will be issued in the delegates name.
